Our client based in the CBD, has a vacancy for an Executive Assistant to a Deputy Secretary for a 3-4 month term with a potential extension. This role is an integral Executive Assistant position, ensuring the efficient operations of the day to day requirements for the Deputy Secretary.

Developing a strong working relationship you will manage and co-ordinate her diary. You will have a proactive approach in developing a strong understanding of the Deputy Secretaries role to be able to effectively manage the flow of communications both via email and telephone. The successful candidate will also hold responsibilities for comprehensive & clear meeting minutes and agenda up to board level. You will be confident in setting process and structure with the unit and have a clear eye for process improvement.

To be successful in this role, you will have a positive and can do attitude. You will be able to adapt to changes quite easily, and be able to prioritise not only your work but have the ability to step in and become an active team member across the wider team.

You will be confident in your abilities to deliver high level executive support and be versatile in applying your skills to provide support on additional projects (as required) supporting the variety of portfolios. You will display clear knowledge and professionalism when dealing with sensitive or confidential material, and strong communications skills to assist in establishing a strong network of both internal and external stakeholders in relation to the role.

The successful candidate will have not only a positive and proactive attitude, but will demonstrate flexibility to the job done. You will provide a strong sense of loyalty to the Deputy Secretary whilst working closely as a team. The successful candidate will be confident in their communications and proven experience in developing strong working relationships. Applicants with a good understanding of the Government Sector will be well suited to this role, proficient with Lotus Notes, TRIM and MIBS will be advantageous.
