job description

Purpose of the job:

To provide a quality and high touch coordination support, as part of the on-site, client based recruitment team in Belfast. To forge relationships with all parties, including key stakeholders within the client site and all suppliers as part of the recruitment supply chain. Key areas of responsibility will be around providing general recruitment based coordination, proficiency with dealing with in-house based client systems and specific recruitment systems

Key activities:

  • General administration utilising the in-house client system and/or recruitment system
  • Carrying out ad-hoc reporting enquires outside scope of any MI specialist
  • Organising team meetings and events
  • HR Interview notes scanning and collation
  • Handoff and secondary point of contact with on-boarding for new starters.
  • Verification of identification documents for new starters on day 1.
  • Act as ongoing point of contact for shared services team and building close collaborative relationships between on and off site teams.
  • Second point of contact for recruitment issues within their specific client business area
  • Ensure all recruitment activity has been captured in real time on the client’s ATS system and/or any other database.
  • Support on use of appropriate selection tools
  • Proactively working with Recruitment Business Partner to drive continuous improvement
  • Supporting Recruitment Business Partner with defining interactive media & Internet advertising campaigns and ensuring implementation.
  • Managing ad-hoc project based work and reporting as requested by Recruitment Business Partner.
  • Scheduling phone screens and interviews.
  • Managing talent pool communications to candidates.
  • Meeting and greeting candidates when appropriate to offer both best practise candidate customer care experience and hiring manager experience.
  • Work in close collaboration with Shared Service delivery team.
  • Ad hoc administrative support for key stakeholders.

Knowledge & Skills:

  • Previous administration experience within a recruitment backround
  • Knowledge of recruitment systems such as ATS, VMS’ and CRMs (desirable)
  • Microsoft Office (Excel/PPT/Word/Gmail)
  • Excellent communications skills
  • Evidence that you are an excellent team player and that you can also work alone.
  • Experience of working in the B2B, Business Services working within an MSP/RPO environment would be beneficial.
  • Demonstrated ability to meet goals and deadlines.
