Specific Job Duties and Result Areas -Formulate and optimize office administration policies and process to ensure that they are appropriate for APAC headquarter and shared office employees -Travel management for key APAC senior leaders (HRD, CFO, Legal heads), including hotel reservation, air-ticket and train ticket booking, ground transportation, VISA application etc. -Be responsible for the reception of Smiths internal oversea leadership team and external visitors from government officials, consultants, candidates for key APAC senior leaders -Office management of office lease renewal, office space management, office renovation and re-location etc., maintenance of office facilities, workplace environment and fixed assets to assure safe and healthy working environment -Administration affairs including stationary, access card application and management, business card and name plate arrangement, relevant supplies purchasing etc. -Coordinate and schedule regular operation meetings, meeting room managements and assignments, video and tele conference arrangements -Management of all external service provider and vendors to ensure the all employees in Shanghai office can get satisfactory standards of services to be cost effective -Manage and control APAC and China group administration cost, analysis of the cost distribution and forecast of administration budget -Support EA to organize and implement commercial conference, employees activities and other relevant company events as necessary Candidate Profile -Minimum 5 years’ experience in administration management -Bachelor or above degree with major in business administration or relevant majors -Fluent in speak and write good English and Chinese -A demonstrable experience in matrix organization with strong stakeholder influencing and management skills -Excellent communication skills, good at multitasking and time management -Excellent organization and coordination skills, project management experience is preferred -Computer proficiency, knowledgeable of Microsoft Office applications-
