This full time (Monday-Friday) temporary role starting ASAP until 30th June 2019 (with possible extension) is based in the stylish and conveniently located offices of a growing Commonwealth Agency based near Hyde Park on Elizabeth Street (CBD).

The Role:

This is a high level varied role where you would be working alongside many internal senior staff and liaising with senior external stakeholders (from other government departments).

  • Committee/Secretariat support, including:
    • managing committee documentation and action items
    • registering committee members
    • arranging reimbursement of expenses and payment of entitlements
    • acquitting meeting attendances
    • coordinating and booking travel and accommodation for committee members
    • booking teleconferences/videoconferences.
  • Assisting with procurement activities including preparation of procurement plans, obtaining quotes, liaising with the successful vendor and drafting contracts.
  • Project mgmt. activities; monitoring and reporting on project updates/ problems/ risks/ solutions.
  • Financial administration; processing invoices and registering contracts in SAP.
  • Organising venues and catering, coordinating papers and agendas and taking minutes as required.
  • Managing and tracking documents, correspondence and other information.


To be successful in this role you have had experience in providing high quality administrative support to senior staff, coupled with;

  • Experience working within the Government sector (local, state or federal) – preferred.
  • Experience within Health sector – preferred.
  • Proficient computing skills including Microsoft Office Suite, TRIM and SAP (ideally).
  • Exceptional communication skills, both written and verbal.
  • Excellent time management skills, with the ability to multi task and prioritise.
  • Strong writing skills/grammar for correspondence.
  • Experience in preparation of meetings – minutes, action items and agenda’s.
