The purpose of the Facilities Manager is to deliver facility management and life cycle management to all Client Commercial, Retail and Industrial properties. Facilities Management includes both strategic asset management services and the day to day operations of the portfolio to ensure no unplanned outages. In addition, this role supports the Workplace Operations Manager in achieving client outcomes and contributes to innovation initiatives across the portfolio.

The control, induction and supervision of subcontractors and third-party suppliers are of utmost importance in managing the risk associated with FM Services.

Job Purpose

The purpose of the Facilities Manager is to deliver facility management and life cycle management to all Client Commercial, Retail and Industrial properties. Facilities Management includes both strategic asset management services and the day to day operations of the portfolio to ensure no unplanned outages. In addition, this role supports the Workplace Operations Manager in achieving client outcomes and contributes to innovation initiatives across the portfolio.

The control, induction and supervision of subcontractors and third-party suppliers are of utmost importance in managing the risk associated with FM Services.

Key Accountabilities

  • Monitor and implement asset management daily and ensure all preventative maintenance services delivered in accordance with environmental and safety guidelines / legislative requirements and site asset requirements
  • Manage reactive maintenance via the help desk function, analyse data to ensure attendance and rectification times are met
  • Management of onsite activities for all FM work orders and FM minor works to ensure delivery to scope and plan
  • Conduct Property Condition Audits (all portfolio sites once per annum) and ensure resulting documentation, images and other inspection data is captured and uploaded in a timely manner.
  • Ensure and validate that all properties have current annual compliance certification
  • Reporting, investigating and closing out incident reports. Identify hazards and subsequent rectification plan
  • Management of Site Risk Response (Emergency Action Plan), Critical Incident Preparedness & Response and associated monthly reporting
  • Responsible for Properties hazardous materials management, hazardous materials risk and work permits
  • Manage and control budget and cost expenditure for facilities management and operations in allocated sites for both scheduled and adhoc maintenance works
  • Review and approve quotes, invoices and purchase orders within delegated authority
  • Process and matching of Preventative Maintenance and adhoc Reactive Maintenance invoices from Contractors against the correctly allocated purchase orders.
  • Ensure invoices are processed in a timely manner.
  • Commercial - stakeholder engagement with building management, lease management, workplace management and contractors to ensure any concerns are communicated quickly and rectified in a timely manner
  • Retail & Industrial - monthly store contact to build a relationship with the Store and/or Business Unit Manager to ensure any concerns are communicated quickly and rectified in a timely manner
  • Conduct and document client meetings with appropriate workstream leaders, Head Contractors regional monthly meetings and attend WIP meetings.
  • Manage the client relationship with key business stakeholders
  • Represent The client professionally, accurately and consistently. Attend regular team, partner and stakeholder meetings with ‘Service Excellence’ always in mind
  • Drive vendor management and governance and ensure monthly reporting format and agenda are implemented and delivered by the contractors
  • Provide regular reports for SLA management and overall vendor performance reviews focusing on incident management, registration and compliance, auditing of completed works and quality assessments, including contractor spot check audits.
  • Responsible for recording and maintaining a key register primarily for those Properties where there is a specific on-site facility management presence. The keys to be included on the register are restricted/registered keys relating to building access or property/facility management activity
  • Work safely and not put themselves or anyone else’s health or safety at risk by their acts or omissions.
  • Operate in a manner that will minimise any adverse environmental impacts associated with their activities.
  • Be available outside of core hours as required in emergency situations
  • Understanding and compliance with the HR-4-4 ANZ Learning & Development Procedure
  • Ensure own mandatory competency requirements assigned through Learning Central are completed within 90 days
  • Provide evidence based certification where required prior to work commencing
  • Participate in any individual development plan as part of the Performance Review Process
  • Ensure your certifications in Learning Central remain current and relevant
  • Perform other duties as requested by your direct Manager providing relief services during leave and overload periods
  • Occasional requirement to work extended hours due to high client workload
  • Deliver the above services based on a demonstrated understanding of the client’s needs and requirements
  • Articulate and live the culture, set an example by modelling the required behaviours and hold others (employees and peers) accountable for their actions by identifying and acting on behaviour which is inconsistent with agreed standards.
  • Deliver an integrated Operational Service for your portfolio.
  • Timeliness and accuracy of responses, reports and work requested by Manager
  • Meeting Contract Operational KPIs and performance indicators.
  • Feedback from customers, clients, peers and Manager
  • Incidences of complaints and associated rectification timeframes
  • Positive working relationship with the team, client and supply chain.
  • Accurate budget management including timely payment of Suppliers
  • Property Condition Audits completed
  • Provide an end to end life cycle management of the portfolio
  • Identify, report and appropriately control health and safety risks
  • Compliance of Portfolio with standards, legislation and regulatory requirements.
  • Nil unplanned outages
  • Demonstrate that the Portfolio is adhering to the systems and processes implemented.

Qualifications & Technical Skills

  • At least 5 years’ experience in facilities management or a related discipline
  • Client relationship experience with a strong focus on customer service
  • Knowledge in one of the major core areas, facility management or corporate real estate
  • Proficient in desktop applications such as Word, Excel, and Outlook
  • Strong contractor management experience
  • Tertiary qualifications preferred and a willingness to undertake further study in Facility Management is required
  • Stakeholder management experience
  • Self-motivated and flexible
  • Technical capabilities to understand assets involved and their life cycle management.
  • Excellent communication and interpersonal skills
  • Excellent time management skills including demonstrated ability to prioritise tasks and deliver on tight deadlines.
  • An ability to work, interact and communicate effectively with stakeholders at all levels and build positive, lasting business relationships.
