job description

Duties

  • Provide project administration and secretarial support;
  • Prepare and co-ordinate internal and external meetings – invitations, diary management, audio-visual equipment, room set up, catering;
  • Provide high level project administration assistance including scheduling meetings, preparing agendas, taking minutes;
  • Track actions arising from these meetings and following-up where necessary;
  • Maintaining document control registers;
  • Register all relevant documents and emails in records management systems ·Prepare and format letters, memos, reports, tender documents
  • Assist with the preparation of reports, attachments and associated documents (ie memos) for meetings, editing, circulation of memos, A3 colour attachments etc as required;
  • Create and process requisitions and blanket purchase orders in TechOne in line with delegated authorities;
  • Maintain spend trackers for each consultant/project and accurately track expenditure against project budgets;
  • Provide customer support and liaison;
  • Answer telephone calls from the public and deal with queries from staff on behalf of the team;
  • Tracking of correspondence responses through records management systems;

Required Experience

  • 5 years experience in a similar role; secretarial, administrative or project support role
  • Proven ability to act pro-actively and with discretion and confidentiality
  • Proven ability to organise and prioritise work and to meet strict deadlines

Required Skills

  • Ability to work flexibly and collaboratively in a fast paced team environment.
  • Demonstrated high level MS Office skills, including Excel, Word, PowerPoint with a minimum typing speed of 60 wpm
  • Experience in the use of Records Manager
  • Ideally has experience with TechOne, particularly procurement or another similar finance management system (SAP, MYOB)
  • Enthusiasm, motivation and demonstrated ability to achieve excellent outcomes and to work independently with minimal supervision
  • Demonstrated high level interpersonal and conflict resolution skills
  • Proven ability to communicate effectively, with high level customer service skills
