About the role:

  • Assisting Project Managers with daily administrative tasks
  • Filing, photocopying, scanning and archiving papers/documents
  • Word processing documents, including correspondence, reports, specifications, submissions, tenders/proposals and more
  • Reception relief;
  • Provide general support to staff as requested
  • Implement and/or improve procedures in consultation with other respective managers\
  • Assist in contractor on-boarding and engagement during ramp up phase of the Project
  • Prepare purchase orders and send copies to suppliers and to department creating requests
  • Determine if inventory quantities are adequate for needs, ordering more materials when necessary
  • Perform buying duties when necessary
  • Contact suppliers in order to schedule or accelerate deliveries and to resolve shortages, missed or late deliveries, and other problems.
  • Support fellow team members where needed
  • Monitor in-house inventory movement and complete inventory transfer forms for accounting purposes
  • Contact stakeholders for progress and status updates, and to communicate any issues raised

Skills & Experience

You must be able to work autonomously with some direction from the senior staff to ensure the successful delivery of projects and workflow, in addition proven experience with the following is essential:

  • Previous/demonstrated experience in an administration role;
  • Ability to meet deadlines, work and communicate efficiently with the stress of a fast-paced environment

  • Advanced skills on Microsoft Word, Excel and Outlook;
  • Strong numeracy skills and previous exposure to financial administration;
  • Coordinating production of tenders/proposals/EOI's;
  • Excellent written and verbal communication skills;
  • High level of organizational skills;
  • Highly reliable, self-motivated and responsible;
  • Attention to detail and the ability to be flexible is essential;
  • Confident phone manner and in front of customers; and
  • Demonstrated time management skills
