Our client, a Global leader within the Mining sector has a very rare opportunity for a Site QS/Site Administrator to join their expanding team for a period of approximately 18 months initially.

Your duties will include:


  • Arrange and attend meetings and record, circulate and retain Minutes of Meetings
  • Draft and/or check all outgoing correspondence prior to being issued and ensure it is in accordance with terms of Contract
  • Review all incoming correspondence, distribute, coordinate and expedite timely responses from appropriate Contract stakeholders as required. Ensure all responses are consistent with the Contract
  • Review with the Originator and assess whether work encompassed in proposed Site Instruction fits within the existing Scope of Work
  • Create a Change Management Issue so Site Instruction can be tracked in Contract Management System
  • Following issue of Site Instruction, monitor Contract Management System for receipt of Change Order
  • Monitor the accumulation of costs against individual Site Instruction
  • Resolving unforeseen construction/fabrication/site problems
  • Clarifying queries on documents and drawings
  • Obtaining clarification of engineering/technical specification issues
  • Requesting permission to deviate from design or specification requirements
  • Approvals of hazardous materials, source of supplies, key personnel, measurement and re-measurement
  • Submit queries to Contractor via Contract Management System
  • Review all Requests for Information, so as to determine if any potential changes to costs are appropriate.

Change Order Requests

  • If the detail of a Change Order Request is lacking, immediately request supplemental information from Contractor
  • Assess the validity of each Change Order Request against the specific requirements of that Contract.
  • Contractual time-bars should be enforced
  • Link Change Order Request to its corresponding Change Management Issue within Contract Management System
  • Where a portion of the Scope or impact of a Change Order Request is disputed, raise two separate Change Management Issues
  • Progress undisputed Change Order Requests through the Change Management process

Progress, Commercial, and Technical Meetings

  • Arrange all Progress meetings
  • Maintain and provide a log of Company correspondence requiring responses
  • Prepare and circulate minutes of Progress meetings
  • Obtain and retain copies of Minutes of Meetings for Commercial and Technical meetings
  • Raise or amend Contract Management Issues based on outcome of meetings

Potential Insurance Claims

  • Monitor Correspondence and Minutes of Meetings to identify any incident that may be an Event under the Owners policies and result in an insurance claim
  • Ensure Owner’s policies are not compromised

Change Management

  • Quantifying and tracking potential Change
  • Ceiling Adjustment Requests
  • Change Order Management
  • Draft and/or check all outgoing formal letters prior to being issued and ensure it is in accordance with terms of Contract

To be successful you will have current experience in a Site based QS/Site Administrator role. Working experience with SAP will be advantageous.
