Duties vary dependant on the role, they may include:

  • Diary, email and call mgmt.
  • Coordinating project meetings and managing agenda and action items
  • Managing panel membership, stakeholder engagement, registering stakeholder contact and distribution lists
  • Managing the project inbox, including responding to emails, coordinating responses from the team and compiling feedback from panel members
  • Coordinating and printing agenda and other meeting papers
  • Preparing mail merges, creating and printing labels, envelopes and posting
  • Taking and drafting meeting minutes as required
  • Coordinating and booking travel and accommodation for eligible panel members
  • Coordinating and organising payment of participation fees for eligible panel members
  • Booking and managing teleconferences
  • Organising venues and catering
  • Managing room and equipment requirements for events.
  • Basic procurement and financial administration, including obtaining quotes, liaising with vendors, drafting contracts, registering and closing contracts in the
  • Commission’s financial system (SAP), processing of invoices, tracking and reconciliation.
  • Maintain records management for the team using TRIM, in accordance with the Commission’s TRIM naming conventions and business rules.
  • Monitor and update the team’s work plan and associated calendars of papers and meetings.


  • MUST have Public Sector/ Government experience (Federal is preferred)
  • Experience in using either SAP, TRIM, Objective and/or Sharepoint (highly preferred)
  • Ability to hit the ground running (sometimes minimal training)
  • Happy to help out the team when needed
