The Program Coordinator prepares all materials and logistical matters for leadership programs for CCL EMEA . - Handles the preparation and shipment of all program materials and equipment, and tracks the delivery of the shipment to the program venue. - Collaborates with Project Managers & Design Faculty to share relevant program information, highlight issues and ensure the quality of program deliverables . - Aligns with program delivery staff on the deliverables and logistics of the program. - Acts as point of contact with external printing provider, prepares all files to print, orders the printed material (notebooks, handouts, posters), and schedules and monitors delivery of printed material. - Prints additional program material. - Coordinates program logistics on and off-site; makes hotel arrangements, sets up classrooms and break-out rooms , schedules special events, client activities, coaching sessions and final evaluations. - Assists participants with any logistical, content, or material need related to the program. - Works with Assessment Operations to ensure all assessments are complete and accurate for programs. - Carries out post-program processes to ensure quality standards are met and continuous improved. - Creates and updates program specific guidelines and relevant documents for programs which they coordinate. - Ensures that the Prep Table, Prep Room, Archive Room, and Delivery room are maintained. - Updates and maintains the Program Coordination training manual and best practice documentation. - Completes other tasks as assigned by Manager .

qualification

Education, Experience/Work Background: - High school degree or equivalent with advanced administrative assistant, IT support, or other relevant training. Bachelor degree preferred. Specific Knowledge, Skills, and Abilities Required: - Fluent in English. Knowledge of other languages is a plus. - Working knowledge of computers and MS Office. - Excellent grammar, vocabulary, and proofreading skills. - Ability to use professional judgment during decision-making circumstances. - Takes initiative and seeks information. - Continuously drives for improvement in the processes and systems. - Strong communication skills, both by phone, written, and face-to-face. - Good organizational skills, with the ability to work independently. - Ability to prioritize and complete requests from various program-related staff members with minimal supervision. - Effective interpersonal skills for group and multi-level organizational interaction. - Strong skills in dealing with discretionary and confidential information. - Ability to work under pressure. - Strong detail orientation necessary. - Ability to interact and function effectively in team environment. - Physical Demands ¿ must be able to lift boxes up to 20 kg. - Previous multicultural working experience is a plus. - Travel is required.
