Are you someone that loves a challenge of supporting multiple senior executives and offices? Have the flexibility to adapt to the need of the office and see no task as too small for you to take on?

We are looking for an Executive Assistant/Office Manager to provide administrative support to a team of 10+ consisting of 4 high level executives that are situated between 2 offices in Canada in the private equity industry!

Executive Assistant/Office Manager's Primary Responsibilities:
• administrative support for multiple executives including personal tasks
• extensive calendar management for a team
• extensive travel coordination and itinerary preparation for large teams and executives
• planning major events and meetings for 50+ attendees (i.e. holiday parties and AGM)
• coordinating onsite and offsite meetings (i.e. catering, technical set up, and meeting materials)
• monthly expense reporting
• preparation of presentations and reports
• be the IT and facilities liaison for employees and vendors
• liaise with high level executives from the client side
• assist with special projects
• greet all incoming guest in person and via the phone
• manage incoming and outgoing mail
• coffee prep and kitchen tidy up
• ensure office supplies are replenished
• onboard new hires

• 7+ years of executive support experience
• 5+ years of office management experience
• Proven experience in large scale events, conferences, or AGM planning
• Proven experience in complex calendar management and travel coordination for large groups
• Highly organized and a strong multi-tasking skills
• Strong verbal and written communication skills
• Flexibility and adaptable attitude to work in dynamic and fluctuating business environments
• Demonstrates tact, professionalism, and strong judgment when working independently and in teams
• Possess discipline and strong problem-solving skills when working independently
• Proactive and a self-starter attitude
• Strong client and vendor management abilities
• Successful candidates must be able to pass a criminal background check

• Proven experience in the financial or the private equity industry
