Executive Assistant (Bilingue)


Provide full administrative support  (e.g., full schedule management and

organizing all internal and external meetings)

 Extensive calendar management, anticipating needs and proactively and effectively managing time

accordingly

 Help ensure requests are responded to in a timely manner and using best judgment to assist and make

decisions without supervision when applicable

 Screen and manage telephone and email inquiries and requests

 Ensure timely expense reporting in compliance with organizational policies

 All travel arrangements, managing complex itineraries, booking flights, hotels, ground transportation

and restaurants

 Compose, proofread, and edit presentations and proposals for senior management and leadership

meetings

 Assisting in the development of packaging materials: Responsibilities include proof

reading documents and ensuring changes identified by you or other areas are made.

 Partner with other administrative staff across the organization and executive leadership team for mutual

success

 Ability to manage work of a confidential nature with discretion; regularly handles sensitive and

confidential information

 Maintain a high level of professionalism in dealing with all matters

 Excellent attention to detail


Highly proficient in both English & Spanish

 Bachelor’s degree preferred

 3+ years’ experience as an Administrative Assistant to executive level individuals

 Advanced proficiency with Microsoft Office products—Excel, Outlook, Word etc.

 Extensive experience with PowerPoint and ability to create senior level presentation for internal

leadership teams, external audiences, and the Board of Directors

 Strong analytical skills

 Demonstrated ability to manage multiple deadlines simultaneously, while keeping organized, efficient,

positive and focused

 Proven track record of academic excellence and interpersonal effectiveness

 Excellent organizational skills with attention to detail

 Demonstrated ability to manage multiple projects and tasks

 Experience operating various systems (cost management, performance management, etc)

 Excellent communication skills with strong written and verbal expertise

 Experience working in an international environment

 Capacity to interact and understand various cultures

 Can do attitude with a willingness to “pitch in”

 Personal desire to succeed and grow with a thriving company.
