Our client, a major cosmetics brand based in New York City, is expanding its Los Angeles, CA and west coast operations teams and are looking for a qualified Administrative Assistant/Creative Coordinator to support the Vice President and Executive Directors. This position is Temp to Hire for the right individual who is looking to be a producer down the line and work in creative long term.

Responsibilities:
?? Overall administrative tasks i.e. scheduling and coordinating, filing documents, working on projects and meeting strict deadlines.
?? May attend phot shoots off site.
?? Manage Outlook Calendar for Executives & VP
?? Schedule meetings & works to coordinate and prioritize meetings
?? Responsible for domestic and international travel arrangements- Arrange travel, flights, car services, etc.
?? Manage all meeting details: confirm attendees, prepare conference room and A/V equipment, organize PowerPoint presentations and meeting handouts
?? Phone support for field phone queries with professional responses; direct caller to appropriate staff and/or message taking
?? Prepare expense reports as required
?? Special projects as assigned such as correspondence and PowerPoint presentations.
?? Maintain department vacation schedules
?? Coordinate on-boarding, interpersonal and organization skills with ability to drive projects in efficient and diplomatic manner

Working hours: 8:00 AM - 5:00 PM

Skills:
--2-3 years of Administrative Assistant experience (preferably supporting Executives)
--College degree preferred
--Proficiency in computer skills and software including Microsoft Office
--Ability to proactively and effectively collaborate with internal cross-functional partners
--Ability to manage highly confidential and urgent matters
--Adobe Suit is a plus but not required
--Excellent communication, interpersonal and organizational skills with ability to drive projects in efficient and diplomatic manner
