Project Coordinator

Los Angeles, CA

This position supports the daily administrative activities and participates in assigned projects and discussions that relate to a team. Ensures confidentiality and demonstrates appropriate discretion in all communication, both internal and external. Provides information and completes assignments with timeliness and attention to detail, demonstrating effective time management skills to meet various deadlines and stated goals of the team.

responsibilities:

Responsibilities

  1. Coordinate and schedule various meetings and events. Compose and create emails, correspondence, reports and documents, which may contain statistical data and/or confidential information. Utilize business writing protocol and ensure that documents conform to established guidelines pertaining to English grammar and style. Proofread documents for typographical and grammatical errors.
  2. Organize meeting agendas, prepare materials, and present updates. Seek and document team feedback. Support team members on short and long term team projects or immediate assignments.
  3. All services are to be provided ethically and with integrity in a manner that is consistent with the client-first culture and values embodied in our statement
  4. Perform various operations (e.g., mathematical calculations, sorting data, pivot tables, etc.) on information gathered from various sources. Draft word documents, spreadsheets, and PowerPoint presentations, as needed.
  5. Seek proficiency in acquiring technical skills in learning and mastering Microsoft Suite of applications and internal proprietary applications like CRISP, Infoshare, and Salesforce.
  6. Work independently on special projects by organizing, researching and coordinating information and requirements; planning, arranging, and meeting schedules.
  7. Represents the team to both external and internal clients consistent with the culture of relationship management. Ensure quality client service, responsiveness, and effective and efficient support.
  8. Maintains up-to-date knowledge of policies and procedures.
  9. May perform Receptionist coverage.
  10. Completes all required training.
 
qualifications:

Basic Qualifications

  1. Bachelor's Degree preferred
  2. Minimum 5 years executive administration experience required.
  3. Minimum 3 years of basic computer experience required. (eg. Microsoft Word, Excel, Outlook, and PowerPoint.)
  4. Must know Microsoft Project

Skills and Knowledge

  1. Highest level of discretion and integrity when handling confidential matters.
  2. Advanced Microsoft Office skills, including Word, Excel, PowerPoint, SharePoint, and Outlook required.
  3. Must be able to re-prioritize and re-focus energies.
  4. Strong analytical skills.
  5. Proven organizational, interpersonal and customer relationship skills strongly preferred.
  6. Previous experience working in a fast-paced, high-volume, deadline-oriented environment preferred.
  7. Experience working in a bank environment highly preferred.
  8. Strong multi-tasking skills preferred.
