About You
- Someone who can get up to speed quickly and has a problem-solving mindset
- Strong communication and collaboration skills – comfortable dealing with a variety of stakeholders (programme / project managers)
- Experience in providing project admin support – education or government environment would be advantageous
- Strong attention to detail – the ability to keep track of changes, create accurate documentation and ensure tasks are completed
- Excellent time management skills – able to prioritise, schedule work to meet deadlines and maintain the quality of services delivered
- The ability to work well in a team, self-motivated, demonstrate initiative and cope with change
- Intermediate to advanced level knowledge of Microsoft Office (365/Suite/Excel)
Key Responsibilities
- Take responsibility for project creation, contract management, order processing, and project updates.
- Maintain and update project information, including progress, status, contacts, forms, and capitalisation requests.
- Collaborate with project managers to handle ongoing projects and ensure accurate data transfer.
- Handle revision of monthly reporting data, including project status, KPIs, contract dates, and progress.
- Manage the invoices process, including retentions, final invoices, and credit notes.
- Organise and maintain MS Teams folders for tracking information, changes, reports, design, and communication documentation.
- Monitor program-specific mailboxes daily and stay up-to-date with relevant information.
