Randstad Essendon Fields are currently recruiting a number of opportunities across the manufacturing and transport & logistics space and have multiple reception and personal assistant ongoing temporary assignments available throughout the Northern suburbs of Melbourne.

We are seeking experienced reception and personal assistant staff with high attention to detail, high level of stakeholder engagement with an ability to prioritise tasks and meet deadlines.

Responsibilities:

- Manage the telephone switchboard in a polite and professional manner.

- Provide executive and general administrative support to the CEO and other Senior Management members, including producing reports and presentations, as required.

- Manage changing diaries, including scheduling and negotiating appointments/meetings.

- Coordinate travel related arrangements for the CEO, Senior Management members and employees as directed, ensuring the appropriate approvals are in place prior to booking.

- Manage the reception email account and ensures all emails received account are efficiently responded to or forwarded to the appropriate team member or section in a timely manner.

- Coordinate tradespersons for general office maintenance as required.

- Order and maintain company supplies, in accordance with approved budget, ensuring purchase orders are raised accurately.

- Warmly greet visitors upon arrival at reception in a professional and courteous manner.

- Provide support in the catering, planning, and coordination of internal employee events as required.

- Organising associated supporting documentation as required.


Skills and Experience:

- Minimum of 2 years experience working within a manufacturing, transport and supply chain industry.

- Excellent customer service and interpersonal skills, including the ability to communicate warmly and effectively.

- Intermediate MS Suite

- Ability to work autonomously and contribute to the team

- High degree of professionalism and judgement with the ability to maintain a high level of confidentiality.

- Certificate IV in Business Administration (highly regarded).
