Randstad is now recruiting for a superstar executive assistant for a client in downtown Victoria

The executive assistant is responsible for ensuring efficient and effective administrative support is provided to the organization’s site(s). She/he will provide organization and structure to the administrative functions of the office(s) and will supervise other administrative and personal support staff.

Roles & Responsibilities:

• Efficiently and actively manages the CEO’s calendar and activities;
• Routinely work with highly confidential information;
• Arranges meetings; conference calls; makes international travel arrangements; handles corporate records/file
management; Collect, prepare and distribute presentation materials for board of director, various committees and
other meetings/discussions;
• Coordinates activities internally within the executive management team and various departments; externally with
various business partners;
• Take and prepare meeting notes, minutes and other records;
• Prepares and processes more complex presentations and reports, often independently compiling first draft as
• Effectively and proactively manage general office and facilities requirements;
• Manage incoming communications to the CEO (mail/telephone/fax & etc) and responding/dealing with issues as
• Provide administrative assistance using advanced knowledge of MSOffice: Sharepoint, Outlook, Powerpoint, Word
and Excel software;
• Care and thoroughness when creating, maintaining or editing documents, data and/or records.
• Collaborates with peers and/or provides leadership and direction to staff to ensure administrative systems and processes are consistently followed and monitored for effectiveness. Ensures gaps are addressed and resolved when identified.
• Strong leadership abilities to coordinate an executive office and administrative staff ensuring seamless delivery of administrative services. Demonstrated ability to delegate to junior staff and follow-up to ensure timelines are met.
• Demonstrated ability to form and maintain strong relationships with a wide variety of internal and external stakeholders while maintaining appropriate work/personal boundaries.


• Positive “can do” attitude
• 5-7 years progressively senior administrative experience
• Bachelors degree in business administrative or equivalent (asset)
• MUST have the ability to maintain high level of confidentiality
• Attention to detail (essential)
• Excellent written and verbal communication skills(essential)
• Computer literate and conversant with current business tools (MSOffice Suite of tools)
• 60 WPM
• Ability to establish or adapt to new systems and processes
• Establish work priorities while remaining flexible
• Demonstrate sounds interpersonal skills maintaining good working relationships & communication at all levels
within the organization


• Salary is $55 000 to $80 000 depending on experience
