Our client is looking for an Intermediate Project Coordinator to join a growing department on contract for 12 months with possible extension.


Administrative Support

• Proofread reports and publications for accuracy, quality and consistency with program-level and client standards;

• Prepare and/or assist in the development of presentations; organize meetings and workshops including book meeting locations, prepare and email meeting notifications and agendas, record and distribute minutes, follow-up to ensure work/action items assigned at meetings is completed;

• Provide administrative support for the on-going functioning and maintenance of the area, e.g. ordering supply, maintaining inventory at both office and office trailers at Centennial.

Records Management

• Create and maintain files and/or scanning and filing documents in accordance with Corporate/Departmental records management procedures/standards;

• Ensure document management, retention, disposition and distribution adhere to FOIP requirements;

• Manage the flow of incoming/outgoing correspondence, including ensuring documents/records are properly inserted and recorded in communications logs;

• Work with the Corporate Records Office, ensure all records/files are properly recorded and archived; research and/or compile branch statistical data and prepare and/or print reports as required;

Google Site & Drive Maintenance

• Provide updates to Google Sites, aligned with approved changes to the program;

• Review Google Site content for consistency and stale-dated material; work with Project Managers and Coordinators to maintain.

Financial Adjustments

• Provide updates to branch-level financial coordinators, e.g. PTIF hours reported;

• Journal Vouchers (JV) are coordinated and processed accurately.

Must Haves

The qualified candidate will possess these skills and qualifications:

• Completion of the twelfth (12th) school grade including business subjects related to data entry or completion of an appropriate certificate program from an approved business school/college;

• Two (2) years of diversified data entry experience including general office procedures;

• Excellent time management and verbal and written communication skills;

• Proven ability to effectively handle sensitive information using discretion;

• Valid Alberta Class 5 driver's license (or provincial equivalent) , GDL permitted

• This position will require travel between multiple locations.

Nice to Haves

Candidates with these skills and qualifications are desired:

• Experience with document and records management, specifically classification and retention schedules (CRS) as well as taxonomy, engineering document control would be considered an asset.
