Operations Assistant



The primary purpose of the Operations Assistant (EDI) role is to provide EDI support to Europe and suppliers, in conjunction with the team in New Zealand. The Operations Assistant will also coordinate the provision of essential documentation for exports, create purchase orders for suppliers and freight forwarders and provide operational assistance to the team to allow for an efficient export process.




  • Liaise with the New Zealand SIS team for the maintenance of ZGS materials master data (EDI).
  • Support the Green OPs for FLEX2b system and coordinate support requests with ZIE.
  • Provide support for the Gold OPs for the Freshpack system/Kiwiplus and coordinate support requests with Radfords and EDI in New Zealand (using Freshpack/kiwiplus system to process data).
  • Using SAP to ensure data is flowing at all times and resolve data issues.
  • Using expertise, industry knowledge and problem solving skills to communicate with third parties how to resolve data issues.


Export documentation


  • Collate export documentation required for shipments from suppliers and freight forwarders (Bill of Lading, Certificate of Origin, Phytosanitary Certificate etc.).
  • Ensure all documentation provided is accurate and email document sets to customers for approval.
  • Create necessary documentation (invoices, certificate of origin etc).
  • Arrange couriering of approved original document sets to market/customers within required timeframe.
  • Create purchase orders in SAP and send the fruit supplier the purchase order via email.
  • Process the allocation of purchase orders to suppliers via WOCA/Kiwiplus-Freshpack systems.
  • Coordinate the allocation to freight forwarders and the provision of correct details. Create purchase orders in SAP and email purchase orders to freight forwarders once created.
  • Maintain overview of the coordination between suppliers and freight forwarders for container pick-up and delivery.
  • Address issues as they arise and proactively communicate with the team.
  • Provide proactive assistance to other ZGS Europe teams as required in the off season.
  • Archive supplier and customer documents in accordance with policy and procedure.


  • Fluent English and Italian both written and verbal. French and Spanish an advantage.
  • Highly developed computer skills (Word, Advanced Excel, Outlook, SAP) essential.
  • Experience with EDI.
  • LSMW and spreadsheeting experience preferred.
  • High school diploma or equivalent.
  • Flexibility to travel within Italy and internationally as required.
  • Flexibility on work hours, particularly through the main season September – March. Some weekend work will be required, and out-of-hours accessibility by phone/email required especially through the main season.
