We are looking for one of our client, a Project Administrator for a 6-month period.

Under the supervision of the Senior Project Controller, the candidate is responsible for providing general office administration. 

More specifically, he/she will provide administrative assistance and support to Engineers, Project Managers (PM) as well as Service Managers (SM) during the set-up, realisation and closure phases of projects & services. 

Missions:

• Participate in selected project teams by taking over some tasks related to administration, documentation, organisation and control of the projects. These tasks include the set-up and the follow up:

- on SAP purchase requests (PR) and their related purchase order (PO), 

- on agreements with suppliers and contractors, 

- on Non-Disclosure Agreements (NDAs) 

- on intercompany agreements.

 • To perform the above mentioned tasks related to PRs according to the process, maintain a close collaboration with the vendor management team,

• To perform the follow up of the POs (advance payments & invoice checks, POs validations…), maintain a close collaboration with the accounting team,

• To perform the above mentioned tasks related to agreements and intercompany contracts, maintain a close collaboration with the legal team,

• Provide support to the Project Managers and to the Engineers with questions or requests they may have on the above mentioned tasks

• On an adhoc basis, maintain a close collaboration with the Delivery Point team (CDP) and address all shipment related topics

• On an adhoc basis, prepare the travel bookings of the Global Government team.

Qualification & Experience:

• Bachelor Degree or Secretary or Management Assistance

• Minimum 3 years of experience in administrative functions

• Proficiency with Microsoft office tools ( Excel, Word, PowerPoint, Outlook), IBM Notes

• Experienced in the daily usage of a SAP (or similar) would be considered a strong asset

• Fluency in English, any other language will be considered as an asset
