Job: Receptionist
Location: 8 The Brooms, Emersons Green, Bristol BS16 7FH
Rates: £12 - £15 per hour depending on experience and requirements
Job Type: 9 - 10 weeks cover
Hours: 12.00pm - 17.45pm (Mon-Thurs) & 12.00pm - 16.30pm (Fri)
Role overview:
The Receptionist is the first point of contact for the company and provide administrative support across the organisation. The receptionist will handle the flow of people through the business and ensure that all responsibilities are completed accurately and delivered with high quality and in a timely manner. This role is to be covered by two part-time positions.
Duties & Responsibilities:
- Meet and Greet
- Meeting and greeting visitors
- Answering & Screening any incoming phone calls while providing basic information when needed
- Booking visitor parking reservations and allocation of parking spaces in advance
- Take the lead on reception dealing with customers, staff and external visitors, advising them of exits, toilets, and refreshments, etc. upon arrival
- Maintain Security
- Follow procedures and control access (monitor logbook, issue visitor badges)
- Issue new security badges, ensuring no badge is given out unless confirmation from security that induction has been completed
- Monitor to ensure visitor forms are in place prior to any visitor attending site Reminding staff off the need when booking rooms to adhere to this, ensuring that only correct Access badge is given out. Monitoring to ensure paperwork returned from security.
- Keeping a record of all MOD pass distribution via Alex Game (also record expired passes handed in)
- Receiving and distributing car hire keys using the key safe's outside building
- Maintain Safety
- Maintains a safe and clean reception area/conference rooms/kitchen/public areas by complying with procedures, rules, and regulations
- Ensuring anyone blocking any car has provided details to Reception
- Daily management of contacting relevant people as/when required to move car so staff can get off site
- Completion of Contactor Induction forms as and when required by the FM for site for contractors.
- Print and Display ESH moments on a monthly basis and ensure previous month is removed
- Meeting and Desk booking
- Maintaining desk and meeting room bookings
- Ensuring all weekly and monthly room bookings are in place. This regularly involves having to move rooms around to accommodate last minute requests/supplier meetings.
- Ensuring all reception equipment (eg Jabras) are signed in and out when used
- Assisting people with wifi access requests and if unable to help then seeking IT support to ensure meeting runs smoothly Administration.
- Sorting and distributing post (mail/deliveries/couriers) - scanning and sending electronic copies as required
- Arranging courier deliveries
- Contributes to a team effort by accomplishing related results as needed
- General Administration duties including ordering from initial copy business cards, dealing with printer from PO number to sending relevant proofs to staff for approval and then giving the ok to printer to proceed
- Management of the Facilities Calendar and Mailbox to ensure schedules optimised
- Create and maintain the Reception Manual, Providing ad hoc support to the Managing Director and Senior Leadership team.
Skills required
- Sound Customer Service Skills
- Experience with meeting and greeting visitors issuing visitor badges and notifying hosts on arrival
- Strong organisation skills and attention to detail
- Flexible
- Previous administration experience, ideally in a senior level environment
- Strong experience in using Microsoft Office
- A friendly, flexible and positive approach
- Ability to liaise effectively with senior management
- Excellent verbal and written communication skill
- Experience in maintaining a safe and clean reception areas
- Preferred: 5 years of experience in an office environment
- Must be able to obtain BPSS
