Executive Assistant - Location Reading - Desired start date ASAP - Contract

Duration 6 months, 25 hours per week

Preferred Qualification

You will primarily support 1-2 directors in our Solution Engineering and Business Operations Lines of Business, with tasks such as expenses, travel, events, procurement and diary administration. In addition, you will work as part of a small administration team to provide cover and support for other Directors and VPs in the organisation when needed. You will need to have a bias for action and be resourceful in order to excel in this self-help culture. You will bring a high-level of organisation, flexibility, and ownership to this role, with the ability to juggle multiple priorities, programs, and schedules while maintaining poise under pressure.

Daily responsibilities would include but are not limited to:

* Providing administrative and international travel support for the designated directors and their team if needed
* Managing the diary for both the designated Directors and adhoc support of others within their teams
* Acting as the main point of contact for any personnel administration issues in the department
* Working as part of a small Administration team to ensure all work is covered and completed
* Producing reports as requested and distributing them to relevant parties
* Planning, co-ordinating and attending meetings/events/training/departmental activities as required
* Communicating minutes from meetings to all relevant people
* Communicating results of actions from meetings to all relevant parties within the agreed timescales
* Ensuring the provision and maintenance of all Office equipment in the department
* Ensuring there is holiday/sickness cover for own role
* Initiating and managing the recruitment process for administration staff


* Respond quickly, accurately and professionally to all correspondence
* Use the relevant tools to diary manage, plan and arrange meetings
* Follow the company's UK's purchasing, travel and expenses procedures as required
* Maintain holiday records and manage holiday cover
* Delegate work to the rest of the administrative team where relevant
* Source venues as appropriate
* Arrange the relevant catering and facilities in line with requirements
* Co-ordinate the Invitations and ensure the attendance of the relevant people
* Take, write and distribute minutes from meetings
* Induct and train new employees (temporary and permanent)

o Manage the smooth induction of new starters

o Liaise with Agencies to co-ordinate temporary cover

o Ensure everything is in place for new starters e.g. Desk allocation, laptop ordering etc.

* Operate in line with the company's UK Human Resources processes and procedures

Required Knowledge, Skills and Abilities

* Previous administrative experience in a professional office environment
* Exhibits a professional, confident, and outgoing demeanour
* Possesses strong bias for action
* Excellent telephone etiquette
* Strong written and verbal communication skills
* Excels in a fast paced ambiguous environment
* Excellent Microsoft Office skills in particular Microsoft Outlook
* Excellent accuracy and attention to detail
* Ability to work under pressure
* Ability to manage multiple and competing tasks through prioritisation and manage time efficiently
* Keen to learn new systems
