Office Manager

Full time Office Manager needed for a Residenital Developer based in Kingston on a prestigious project.



* Competative hourly rate
* Needs to drive as not near a station
* Temp to Perm

Duties:



* Prior construction site office based experience an advantage
* Professional reception and telephone manner, good experience with outlook, word and excel spreadsheets.
* Proactive and can use initiative and multitask in a busy workplace
* This person needs to be comfortable working in what is a predominantly male working environment
* Responsibilities
* Job will include supporting the Project Manager with his diary management and meetings, assisting with
* producing reports, making packs, preparing documents for meetings, processing expenses.
* Procuring office furniture, IT equipment, telephones, stationery etc
* Managing welfare area and cleaner duties, ordering materials to enable this to run smoothly
* Calling off site materials, arranging services and office machines i.e water cooler, photocopier, radios etc
* Supporting the site management team, ensuring all daily paperwork is available for them and the contractors and checking all is completed correctly, logged and filed efficiently, ensuring they keep their work areas and the office in good order, assisting with HR / annual leave requests and queries and liaising with Head Office.
* Registering new inductees on the Biosite System.
* Logging induction form information accurately onto the system, ensuring this is kept up to date and readily available in case of on-site audits.
* Checking new starter CSCS card requirement and validity.
* Assist the Future Opportunities Administrator in keeping accurate labour records for all operatives, training
* programmes and apprentices and providing data for monthly reports.
* Assisting with H&S reports and procedures
* Answering phones professionally, taking messages and transferring and screening calls quickly
* Ensuring all files are kept up to date, presentable and accessible at all times and keeping on top of monthly filing
* review for Managers.
* Liaising with Head Office PA's to arrange on site meetings and visits for Directors
* Ensuring all daily duties are covered i.e processing delivery tickets, ordering materials and supplies, ensuring the
* photocopier and stationary areas are fully stocked
* Liaising with Group IT on any issues
* Setting up new starters on IT
* Processing data to excel schedules and spreadsheets
* Preparing, typing and distributing minutes for meetings efficiently
* Producing monthly newsletters, liaising with the community on visits, complaints, compliments, and keeping track
* of these.
* Entering and maintaining records of the transfer of wastes from site
* Record plant on site, ie fuel orders, maintenance checks and update the NMNN system
* Keeping the security gate team informed of any visitors, ensuring they are stocked up with signing in sheets
* Liaise with S&M suite for appointments for viewing plots under construction.
* Preparing all labour timesheets for Commercial sign off
* Producing signage and posters where required for site and welfare facilities
* Ordering PPE and ensuring visitors PPE area is managed and kept stocked.
* Keeping accurate records of deliveries, PO's and orders placed

Experience essential in:



* Excellent working knowledge of all Microsoft Packages aswell as any document control packages.
* Excellent organisational skills.
* Good interpersonal skills, self motivated, and able to work on own initiative.
* Confident and eager to learn.
* Good communicator with excellent grammar.
* Ideally minimum GCSE Level C Maths and English.
* Ability to work within a team and be flexible.
