Job Purpose

Provide a full support service to the Managing Directors and all shareholders within the business ensuring that all administration activity and diary and project coordination is completed to a high standard.

Responsibilities



* Reporting to Managing Director UK and Shareholders
* Manage mailboxes and post
* Diary management and liaison with senior management team
* Typing and dictation
* Audio and copy typing
* Meet and greet visitors
* Travel and hospitality arrangements
* Expenses and Financial management
* Issuing Purchase Orders with Finance department
* Taking calls and messages for senior management team
* Managing conference calls
* Booking meeting rooms
* Meeting management, minutes, agendas and action follow up
* Support HR inductions for new starters
* Maintain and update company organisation charts and resources
* Filing and management of paper and electronic documentation
* Cover for other admin and PA roles during holiday periods

Requirements



* 5+ years Personal Assistant experience supporting a number of senior managers and stakeholders is essential
* Professional, personable, flexible approach
* Excellent attention to detail
* Good oral and written communication skills
* First class organisational and time management skills, able to multi-task and remain calm under pressure
* Experience of providing a senior secretarial support service in a fast-paced environment
* To understand the requirement for discretion and a political sensitivity when liaising with external stakeholders
* First class MS Office skills, to include Powerpoint
* Ability to use initiative and be pro-active
* Ability to work as a part of a team
* Ability to establish and maintain good working relationships with employees at all levels within the organisation
* Enthusiastic/polite/hard working individual
* Discretion and trustworthiness: you will often be party of confidential information
* Must have worked in similar size of business £50M+, 200+ staff, executive teams, family owned all preferable
