Property & Lettings Administrator - Bath

Are you a driven and motivated Administrator looking for work in the Property Sector?

Our leading Property Management company based in central Bath are seeking an administrator to work within the property and lettings team. Working within a team, you will play a key role in making sure the office and operations run smoothly

Duties Include:

* Manage the reception when needed - welcoming visitors and answering the telephones professionally.
* Coordinate property inspections
* Maintain an accurate records
* Process application forms / Carry out the reference/credit checks
* Maintain databases, ensuring property, client, applicant, tenant and tenancy details are always up to date and accurate.
* Assist in the production of marketing and promotional materials
* Produce correspondence on behalf of team members
* Provide full office support, including typing, data entry, photocopying, filing
* Contact utility suppliers to inform of change of occupant.
* Coordinate gas safety certificates, electrical certificates and EPCs
* Contact contractors to ascertain whether they are able to carry out works
* Assist Property Lettings Manager in obtaining quotes
* Monitor contractor's performance
* Issue keys to contractors / Ensure key cabinets are kept secure and closed at the end of each day.
* Prepare works orders for cleaning, gardening, etc.,
* Ensure that inspections of managed properties are regularly undertaken by the Property Lettings Manager / Negotiator and any points raised are actioned.
* Arrange meetings and inspections for all properties managed.
* Ensure that all necessary contracts and quarterly inspections are in place.
* Carry out Inspections of properties from time to time if required.
* Forward copies of Inspection Reports to the property lettings manager and to action points.
* Check, code, input and process invoices.

Experience Needed:

* Solid Administration experience
* Organised and pro-active
* Motivated and professional
* Competent IT skills
