Team Administrator

One of the most outstanding shopping mall contractors in the country, is looking for a team administrator to join their team at white city.


* Close to mainline underground station
* Ongoing contract
* Lively and vibrant team

Main Duties & Responsibilities:

* Diary management on behalf of the team
* Booking meeting rooms both on and off site
* Assist production of contracts, CRA's, orders, method statements, meeting minutes etc. as appropriate.
* Coordinate staff business equipment including mobile phones, credit cards, PC's, etc. Monitor return of the same upon staff termination and/or transfer
* Accurately reconcile invoices against goods and services provided
* Complete project work on behalf of the Project Director
* Fielding incoming telephone calls and queries on behalf of the team and dealing with these appropriately or passing on to relevant people.
* Processing of incoming post / correspondence for the team members.
* Submitting / tracking and reconciling expenses via an on-line system.
* Organise and carry out filing and archiving of correspondence / information.
* Produce presentations
* General stationery stock control
* Ensure office facilities are always fully stocked, including fruit, cereals and refreshments
* Coordinate the use of meeting rooms with Reception and the provision of equipment and refreshments
* Ensure all facets relating to the meetings are organised
* Coordinate the minute-taking, typing, collation and distribution of documents relating to necessary meetings
* Coordinate travel arrangements for the Asset Project team
* Ensure accurate and timely completion of activities
* Distribute internal/external reports
* Maintain a work diary for the Project Director
* Sort and prioritise emails
* Review documentation produced by internal personnel to ensure accuracy and relevance
* Proof-read documents to ensure accuracy of correspondence
* Ensure confidentiality of information produced and distributed
* Develop standard documents for internal/external distribution
* Clearly communicate information requirements. Confirm understanding of requests
* Ensure appropriate authorisation is noted on staff documents
* Support the reception team as and when required
* Respond promptly to internal/external requests for information
* Resolve issues raised by other divisions
* Take the initiative in responding to general queries and correspondence
* Build a relationship with the D&C team to ensure co-operation
* Identify internal/external resources to deliver information and solutions
* Manage mail for the D&C site office

Experience, Knowledge & Qualifications:

* Proven experience working in a relevant position
* Advanced IT skills including Microsoft Word, Excel, Powerpoint, Access and Project
