About the company
Based in Raffles Place, Client is a financial client and we are looking for a team admin to assist the senior and junior members of the private capital team. Reporting to the Managing Director and the global team, you will have a chance to interact with your overseas internal stakeholders and direct hire.
About the role
The responsibilities of this role will include but are not limited to:
– Client Management
- Organize, set-up and coordinate internal and external client events
- Coordinate the yearly marketing campaigns for South-East Asia clients in coordination with Marketing team in Hong Kong. Monitor & steer marketing expenses for South-East Asia platform
- Source, coordinate and arrange annual orders for Sales teams' corporate clients (Chinese New Year, Mooncake Festival, Christmas, SG Diaries, Staff's Diaries, Reports) Support the Marketing teams and Client Service teams on their communications with our clients
- Arrange dining reservations for client entertainment
- Assist in bespoke client requests on a day-to-day basis
- Support the BMOs & Heads for South Asia region
- Manage diaries for the Head of desks
- Plan & book travel which includes, flights, hotels, airport pick up, visa applications, etc.
- Managing expenses for the team and process invoices, in line with internal requirements.
- Keeping track of Travel approvals, especially for monitoring countries
- Organizing meetings (video/audio conferences, client meetings, interviews, agendas for overseas visitors)
- Distribute & handle incoming/outgoing mails
– Reporting & governance
- Manage and control office supplies & equipment
- Work closely with the BL managers and other PAs in the region and globally
Ensure consistency of approach across locations
- Control and supervise the activity
-Be the gatekeeper of the Front office policies (Travel, Gift, Meals & Events)
-Provide guidance to Front office when necessary
- Perform regular Permanent Supervision controls for CEO
-Investigate and report policy breaches
Skills and experience
The successful candidate will possess:
- Experience in a secretarial and administrative role in a corporate environment to ensure proficiency within our dynamic team environment
- Strong initiative and self-motivation
- Excellent attention to detail and is meticulous
- A can do attitude and is responsible
- Ability to multi-task, work effectively under pressure and prioritise work
- Professional presentation and approachable
- Proficient in Microsoft Outlook, Word, PowerPoint and Excel
