Key Responsibilities

Your daily routine will be varied and stimulating, built around three major pillars:

1. Administrative and Office Logistics Management 🏢

• Administrative support for the General Secretary and the team.
• Vendor management (ordering supplies, beverages, machine maintenance).
• Main point of contact for building management (access badges, coordination of repairs, fire safety).
• Management of physical mail and the general email inbox.

2. Event and Meeting Organization 📅

• Logistical coordination of meetings (room bookings, catering, hotels, restaurants).
• Full organization of annual seminars and summits (venue scouting, registration management, contract follow-ups).
• Preparation and dispatch of materials for external events.

3. Support for Working Groups and Travel 🌍

• Welcoming experts and daily preparation of meeting rooms.
• Occasional travel within Belgium and Europe to attend events and manage the on-site reception desk.
• Management of petty cash and data entry for safety awards in Excel.

Qualifications

To excel in this role, you possess the following assets:

• Native-level English 🇬🇧: Excellent command of English (both oral and written) is essential, as it is the primary working language. Knowledge of French, Dutch, or other languages is a significant advantage.
• Proven Experience: Demonstrated experience in a similar secretarial or administrative support role.
• IT Expertise 💻: Proficiency in the Microsoft Office suite (Word, Excel, PowerPoint) and comfort using SharePoint.
• Absolute Discretion: You handle information with the utmost confidentiality and professionalism.
