Responsibilities
Bookkeeping & Financial Support:
- ERP Management: Daily use of Microsoft Business Central to manage financial data. (Note: Proficiency in Business Central is a mandatory requirement for this role).
- Invoicing: Prepare and issue professional invoices and proformas.
- Reconciliation: Perform bank and credit card reconciliations.
- General Ledger: Assist with payroll, general ledger maintenance, and support month-end/year-end closing processes.
- Record Keeping: Maintain meticulous financial records and documentation.
- Logistics & Operations:
- Shipping Coordination: Manage domestic and international shipments (including cross-border and overseas logistics).
- Freight Management: Arrange trucking and freight services, tracking shipments to ensure timely delivery of heavy equipment.
- Documentation: Prepare and manage essential shipping documents, including commercial invoices and customs paperwork.
- Communication: Act as the primary point of contact for vendors, carriers, and internal teams to resolve logistics bottlenecks.
Administrative Duties:
- Team Support: Provide general administrative assistance to the office and operations team.
- Workflow Coordination: Assist with scheduling, internal reporting, and data tracking to optimize daily operations.
Qualifications
- Software Expertise: Must be proficient with Microsoft Business Central. Applicants without this experience will not be considered.
- Experience: Proven background in bookkeeping, accounting, or a senior administrative role.
- Logistics Savvy: Strong experience in logistics, shipping, or freight coordination is highly preferred.
- Regulatory Knowledge: Familiarity with cross-border shipping and customs processes is a significant asset.
- Skills: Exceptional organizational skills, the ability to multitask under pressure, and a high degree of attention to detail.
- Communication: Strong written and verbal communication skills for vendor and client interaction.
- Experience within the construction, equipment rental, or industrial sectors.
- Deep understanding of Canadian and U.S. shipping regulations.
- Previous experience with ERP systems or inventory tracking software.
