Provide high-level, one-to-one secretarial and administrative support to the expatriate Managing Director/founder of a leading healthcare group.You will manage complex international travel, calendars, and HR administration. This role requires an adaptable professional capable of providing seamless remote support during the MD’s frequent global travels.

You will report directly to the Managing Director and the HR & Admin Manager. The team environment is dynamic and service-oriented, requiring close coordination with internal departments and external stakeholders to ensure the leadership is supported efficiently across different time zones.
about the job.
- Act as the primary point of contact between the MD and internal/external stakeholders.
- Manage the MD’s complex calendar, including scheduling meetings, speaking engagements, and domestic/international travel arrangements.
- Provide proactive remote support to the MD during frequent business travels to ensure continuity of operations.
- Organise online and offline meetings, including room logistics, itinerary planning, and technical pre-testing.
- Perform secretarial duties for business and personal matters, including the management of vehicles and apartments.
- Source and procure goods/materials and coordinate logistics as requested by the MD.
- Handle administration tasks, including filing, database management, and the preparation of expense reports.
- Coordinate with external stakeholders regarding visas, residency regulations, and basic tax obligations for designated venues.
skills & experience required.
- A minimum of 5 years of related experience in executive support or HR administration.
- Bachelor’s degree or equivalent university qualification.
- Excellent command of English, Cantonese, and Mandarin (written and verbal).
- Proven ability to multitask and prioritise tasks effectively under high pressure.
- Exceptional time management skills and a "can-do" attitude.
- A combination of critical thinking and active listening skills.
- High level of discretion and attention to detail when handling sensitive information.
