In this role, you are the link between the office and the warehouse, ensuring that everything runs smoothly and accurately from an administrative perspective.

key responsibilities
- Preparation of the inbound flow for export shipments: You prepare the acceptance of incoming goods by creating “truck files.” This includes processing pickup notes in the system, preparing unplanned items, and creating inbound deliveries. This ensures the warehouse can accept goods efficiently and without delay the next day.
- Preparation of the outbound flow for export shipments: You are responsible for the full administrative handling of outgoing shipments. You prepare all necessary transport documents so that the warehouse can process shipments accurately and on time.
- Shipment preparation: You ensure the complete administrative handling of printed shipments and prepare transport documents so that the warehouse can finalize the handling smoothly.
- Document management: You prepare packing lists and other essential administrative documents for the consult team.
- Internal coordination: You act as the link between the warehouse and the teams handling export shipments. You continuously coordinate with the various stakeholders to guarantee a flawless flow of goods. Any ambiguities in the incoming or outgoing flow are followed up and coordinated by you.
qualifications
- Administrative skills: You excel in accuracy and have strong organizational abilities.
- Language skills: You communicate fluently in English, Dutch, and/or French, both verbally and in writing.
- IT skills: You have a good knowledge of MS Office, with a solid basic knowledge of Excel.
- Flexibility: You are willing to work in a shifted schedule (09:00–17:00, 11:00–19:00, or 14:00–22:00).
- Mindset: You are eager to learn, able to work both independently and as part of a team, and remain calm and efficient when facing tight deadlines.
- Experience: Relevant experience in air freight or the logistics sector is a strong asset.
