Responsibilities
• General Administration: Manage daily office tasks, including scheduling meetings, coordinating calendars, and handling correspondence.
• Document Management: Prepare, edit, and format reports, presentations, and internal communications.
• Meeting Coordination: Organize logistics for internal and external meetings, including room bookings, catering, and agenda preparation.
• Data Entry & Records: Maintain accurate filing systems (digital and physical) and update internal databases.
• Reception Support: Act as a point of contact for visitors and handle incoming calls with professionalism.
• Team Collaboration: Support various departments with administrative requests and project-based tasks as needed.
• Supply Management: Monitor office supplies and place orders to ensure the team has everything they need to function efficiently.
Qualifications
• Experience: 1 to 3 years of experience in an administrative support or office coordination role.
• Bilingual: You are fully proficient in both English and French (written and verbal).
• Software Proficiency: Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Communication: Excellent oral and written communication skills in both French and English.
• Organizational Skills: Exceptional ability to prioritize tasks, manage time effectively, and handle multiple deadlines in a fast-paced environment.
Nice to have:
Diploma: Post high school diploma in administration or secretarial are an asset.
