The post holder will play a pivotal role in maximizing the CEO's efficiency. The role requires strong organizational skills, discretion, and the ability to operate
effectively in an environment where priorities can shift rapidly. The jobholder needs to be a self-starter who does not require constant supervision. Key Responsibilities:
Executive Workflow & Schedule Management (40%):
● Manage the CEO’s calendar across multiple time zones (IST/CET/JST).
● Screen incoming requests to ensure the CEO focuses on high-impact activities.
● Prepare "Day Packs"—ensuring the CEO has all necessary documents, briefings, and context before entering any meeting. Communications & Documentation (30%):
● Draft, edit, and format professional emails and letters on behalf of the CEO. ● Maintain a structured digital filing system (Google Drive/OneDrive) for contracts, land documents, and licenses.
● Attend internal review meetings to record minutes and follow up on deadlines with department heads. Logistics & Travel Coordination (20%):
● Orchestrate end-to-end travel logistics (flights, road transport, accommodation) for the CEO and visiting investors/partners.
● Handle last-minute itinerary changes with composure and speed.
● Coordinate site visit logistics for guests visiting the Mulapeta project site (safety gear, transport, hospitality).
General Office Operations (10%):
● Oversee office vendors (housekeeping, internet, stationery) to ensure zero downtime.
● Manage basic expense reporting and reimbursement filing for the CEO’s office.
Resources managed (staff and expenditure):
● Budget Management: Oversight of office and travel bookings budget.
● People Management: Coordination of office support staff
(housekeeping/messengers).

Essential qualifications, skills and experience ● Relevant Degree: Bachelor’s degree in any discipline (B.A., B.Com, B.B.A,etc.) preferably in business management
● Professional Experience: Minimum 1–3 years of experience in an administrative, secretarial, or front-office role.
● Tech Proficiency: Functional knowledge of MS Office (Word, Excel,PowerPoint) and Google Workspace (Calendar, Drive, Meet).
● Communication: Excellent verbal and written English skills.
● Adaptability: Willingness to work flexible hours when required by project deadlines or travel schedules.
Desirable qualifications, skills and experience
