Position Overview
We are seeking a dynamic, customer-centric, and presentable Front Office Executive / Senior Executive to join our team. This role serves as the primary point of contact for patients and visitors, overseeing Outpatient (OP) operations, Admission-Discharge-Transfer (ADT) workflows, billing, insurance coordination, and cash management.

Key Responsibilities
Patient Relations & Reception Management
- Warmly greet patients and visitors upon arrival, maintaining a professional, presentable, and polite demeanor.
- Manage front desk operations, including patient registration, scheduling, rescheduling, and appointment confirmations.
- Guide patients and attendants to appropriate departments, OPD clinics, or diagnostic areas efficiently.
- Handle crowd management and maintain orderliness in the reception and waiting lounge areas.
Communication & Query Resolution
- Provide proactive, clear, and accurate communication to patients through all channels (in-person, phone, email, and online portals).
- Address patient queries promptly and resolve operational issues with empathy and professionalism.
- Collaborate with doctors, nursing staff, administrative teams, and allied departments to ensure seamless patient flow and inter-departmental coordination.
Billing, Insurance & Financial Operations
- Handle Outpatient (OP) billing, inpatient admission billing, and daily cash transactions accurately.
- Manage end-to-end Cash collection and closing reconciliation at the end of each shift.
- Assist patients with insurance-related queries, pre-authorization forms, and coordinate directly with Insurance Companies/TPAs (Third Party Administrators).
Operations & Administration
- Oversee ADT (Admission, Discharge, and Transfer) administrative processes.
- Maintain complete and accurate patient documentation, registries, and operational logs.
- Escalate functional, operational, or patient satisfaction concerns promptly to the Clinic Manager.
Key Competencies & Qualifications
- Education: Full-time Bachelor's degree in any discipline.
- Experience: 3 to 7 years in front-facing customer service roles within Hotels, Aviation/Airlines, Insurance, or Healthcare setup.
- Skills:
- Exceptional verbal and written communication skills.
- Strong interpersonal and problem-solving abilities.
- Basic proficiency in computer applications, billing software, or HIS (Hospital Information Systems).
- High level of adaptability, resilience, and composure under pressure.
- Flexibility to work in night shifts and rotational rosters.
