The Operations Specialist will be responsible for overseeing the entire onboarding process for new employees. They will work closely with HR, managers, and other departments to ensure a seamless and positive experience for all new hires.As an Operations Specialist, you will play a key role in managing the end-to-end TA operations process. You will be responsible for generating offers, seeking ELT approvals, releasing offers, and initiating the candidate onboarding process. The ideal candidate will have a strong understanding of HR/RPO processes, exceptional communication skills, and a proactive approach to problem-solving.core responsibilities (offer desk)- Coordinate and manage the entire onboarding process for new employees, from document collection, offer generation, offer approvals, offer release, offer acceptance, background verification, pre & post offer formalities, pre-boarding to orientation and beyond.- Collaborate with hiring managers and HR teams to generate accurate and comprehensive employment offers. Ensure offers are in compliance with company policies and relevant employment laws. Review and verify offer details, including compensation, benefits, and other terms.- Seek necessary approvals for offer terms and conditions from relevant stakeholders.- Coordinate with hiring managers, HR, and legal teams to address any offer-related queries or negotiations.- Maintain clear communication channels throughout the approval process.- Work closely with ITA recruiters, partners, directors, and hiring managers to ensure compensation negotiations are carried out in the most accurate manner with confidentiality.- Release offers to selected candidates in a timely and professional manner.- Communicate offer details to candidates and provide support in understanding offer terms.- Manage candidate expectations and address any concerns or questions related to the offer.- Ensure accurate and timely documentation of all offer-related activities.- Maintain records of offer approvals, rejections, and any changes to offer terms.- Stay informed about relevant employment laws and compliance requirements.- Identify opportunities to streamline and improve the offer desk process.- Collaborate with cross-functional teams to implement process enhancements.- Contribute to the development of best practices for offer management.other responsibilities (onboarding)- Manage the end-to-end onboarding process for new employees, from offer acceptance to the completion of the probationary period.- Coordinate orientation sessions with L&D team to familiarize new hires with company policies, culture, and expectations.- Ensure completion of all required new hire paperwork, including tax forms, benefits enrollment, and other essential documents.- Stay informed about legal requirements and industry best practices to ensure onboarding processes are compliant.- Collaborate with IT and other relevant departments to ensure new hires have the necessary equipment, access, and software to perform their roles effectively.- Collaborate with relevant stakeholders to initiate and oversee the background verification process for new hires.- Ensure compliance with company policies and legal requirements during the background check process.- Address any discrepancies or concerns identified during the background verification process.- Provide support to new hires in navigating company systems and tools.- Foster a positive onboarding experience that promotes employee engagement and integration into the company culture.- Act as a point of contact for new hires, addressing their questions and concerns during the onboarding period.required skill-set & qualifications- Minimum bachelor’s degree from a UGC/AICTE accredited university- 3-4 years of work-experience in a recruitment or HR staffing firm.
