Reports To: Production Planning Manager
Key Responsibilities:
1. Procurement Operations:
• Process Material Requirement Planning (MRP) and internal requisitions for : Castings, forgings, gears, shafts, etc.
• Float RFQs (Request for Quotation), compare quotes (cost, quality, delivery), and negotiate with vendors.
• Issue Purchase Orders (POs) and ensure order acknowledgment.
2. Vendor Management:
• Coordinate with existing and new vendors for timely deliveries.
• Maintain Approved Vendor List (AVL) and ensure quality compliance.
• Assist in supplier audits, development, and onboarding of vendors for mechanical parts.
3. Delivery & Logistics Coordination:
• Follow up with vendors to ensure on-time delivery to stores or production lines.
• Coordinate with logistics partners and in-house store team for incoming material.
• Handle documentation: challans, GRN (Goods Receipt Note), test certificates, inspection reports.
4. Cost and Quality Focus:
• Work closely with QA and Production to ensure supplied materials meet quality standards.
• Support cost control initiatives through vendor negotiations and alternate sourcing.
5. Documentation & Compliance:
• Maintain accurate records of POs, invoices, delivery schedules, and supplier communication.
• Ensure procurement activities comply with internal policies and Standards.
• Assist during internal and external audits.
6. Reporting:
• Generate daily/weekly reports on order status, pending deliveries, and procurement KPIs.
• Highlight potential delays or supply risks to management.
Key Skills and Competencies:
• Sound knowledge of mechanical components, manufacturing materials, and machine shop tools
• Understanding of engineering drawings, tolerances, and machining terminology
• Strong vendor negotiation and communication skills
• Working knowledge of ERP systems (SAP, or any in-house system)
• Familiarity with ISO or similar quality standards
• Good coordination with production, QA/QC, and stores departments
Qualifications and Experience:
• Education: Diploma or bachelor's degree in mechanical engineering / industrial engineering / supply chain
Experience: 4-6 years in procurement within a mechanical manufacturing environment (preferably gearboxes, transmission systems, or precision components)
