Key Outcomes:
- Accounts Payable & Financial Management: Oversee unit accounts payable tasks, assign workflows to admin officers, process invoices in Basware, and prepare payments accurately within timeframes.
- Client Liaison: Act as the primary unit contact, resolving or escalating issues promptly to ensure seamless operational coordination.
- Processing: Review, allocate, and process log sheets and online timesheets for accuracy, facilitating manual payments when necessary to ensure timely entitlements.
- Fleet Administration: Monitor and manage fleets utilisng excel spreadsheet.
- Mailbox & Communications Management: Monitor central mailboxes, distribute communications, and assign administrative tasks to maintain efficient clerical, records, and general office support.
- Stakeholder Engagement: Communicate effectively with a diverse network of stakeholders.
- Process Improvement & Compliance: Apply deep knowledge of work practices and departmental policy guidelines to support operations while proactively identifying process improvement opportunities.
- Work Health & Safety: Contribute to a safe and healthy workplace by proactively identifying and reporting incidents, hazards, and injuries.
About You
- Proven Accounts Payable Experience: Skilled in high volume financial processing, invoice systems (Basware experience highly regarded), and adhering to Government financial instructions/frameworks.
- Strong Administrative & Systems Aptitude: Highly organised with experience managing shared mailboxes, processing payroll/log sheets, and managing fleet related assets.
- Clear Stakeholder Communication: Excellent interpersonal skills with the ability to collaborate smoothly across Government agencies and external stakeholders.
- Continuous Improvement Mindset: Proactive approach to refining administrative processes and adhering to WHS standards.
