Responsibilities
- Sophisticated Calendar Management: Orchestrate complex schedules and prioritize high-stakes meetings to promote maximum executive productivity.
- Global Logistics: Manage intricate international travel arrangements, resolving scheduling conflicts proactively to ensure seamless door-to-door itineraries.
- Financial Administration: Handle invoice processing via Oracle (vendor setup, PO entry, GL coding) and manage monthly expense reconciliation in compliance with corporate policy.
- Executive Ambassadorship: Respond to internal and external inquiries with tact and diplomacy; act as a professional extension of the leader in all interactions.
- Strategic Deliverables: Create high-quality PowerPoint presentations, run confidential reports in Excel, and prepare briefing materials well in advance of key meetings.
- Project Leadership: Actively participate in special initiatives, tracking action items and ensuring deadlines are met across multiple departments.
Qualifications
- Experience: Minimum 5+ years of experience as an Executive Assistant supporting senior leaders, preferably within a publicly traded company or the financial/insurance services sector.
- Bilingualism: Professional fluency in English and French is required due to regular interaction with national stakeholders across Canada.
- Technical Savvy: Advanced proficiency in MS Office (Word, Excel, PowerPoint) and virtual collaboration tools (MS Teams, Zoom). Direct experience with Oracle is a significant asset.
- Education: Bachelor’s degree in Business Administration or an equivalent professional certification.
- Discretion: A proven track record of handling highly sensitive and confidential information with the utmost integrity.
- Agility: Ability to deliver high-quality results under pressure in a dynamic, fast-paced environment.
