Role:Facility Executive
Roles and responsibilities:
Ensure facility rounds are taken, and helpdesk tickets are raised and closed on time (aiming for a 10% Quarterly increase in tickets closed).
Monitoring and closure of all helpdesk tickets.
Servicing of equipment is done as per the schedule, with service reports uploaded in the CMMS portal on a weekly basis.
Ensuring all meeting rooms are checked and all installed equipment is functional. A daily checklist must be updated.
Ensuring work permits are raised one day in advance for activities carried out at the site. All repair and maintenance (R&M) activities must be closely monitored, and safety standards followed.
Highlighting any risk observed at the site and updating it in the risk register with the necessary mitigation plan.
Coordinating with the vendor for the maintenance of indoor plants.
Reporting and Communication
Accurate and correct data must be updated in the daily report and shared with MIS before the end of the day (EOD).
Sharing the 52-week calendar, training report, and all monthly reports by the end of every month.
Updating the asset tracker and sharing the updated document on a monthly basis.
Ensure attendance at operations calls and timely sharing of site updates.
Ensuring all mails and queries received on the facility mail ID are responded to on time.
Inventory and Stock Management
Ensuring consumable stock is maintained for $1.5$ months.
Maintaining inventory of stationery, plumbing, and carpentry stock, and ensuring the details are updated in the Inventory Management Tool (IMT).
Maintaining a track of Personal Protective Equipment (PPE), plumbing, and carpentry tools.
Compliance and Training
Ensuring trainings are conducted as per the training calendar, complete with evaluations. A weekly training report is to be shared with the training SPOC.
Checking on the water and food testing reports and filing the same.
Initiatives and Support Services
Delivering one initiative per quarter focused on cost saving, process improvement, or innovation.
Supporting in Cafeteria Operations.
Event management, including coordination of food arrangements (Tea, Coffee, and Cookies).
Supporting in space management.
