Role: Freedom of Information (FOI) Coordinator
Rate: $25.00 – $35.00 per hour
Term: 3-Month Contract
Start Date: February 2026

Responsibilities
1. FOI Request Processing & Compliance
You will manage the end-to-end lifecycle of Freedom of Information requests to ensure strict compliance with the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA) and meet the mandatory 30-day deadline.
Stakeholder Relations: Respond to internal and external inquiries via phone and email within 24 hours.
Request Management: Clarify requests with applicants, identify voluminous requests, and negotiate to reduce scope or complexity.
Records Handling: Search, locate, and retrieve records; coordinate with various departments to identify responsive documents.
Legal Analysis: Research and apply MFIPPA legislation and IPC (Information and Privacy Commissioner) orders to identify statutory exemptions.
Redaction & Disclosure: Determine and sever exempt information, prepare records for disclosure, and calculate requester fees.
Appeals: Manage all stages of the appeal process, including participating in mediations and drafting representations.
2. Reporting & Tracking
Maintain accurate tracking systems and a FOI deadline calendar.
Provide weekly summaries to Senior Legal Counsel regarding routine requests and "Requests of Note" (contentious files).
Collaborate with IT and Legal to update FOI Policies and Procedures.
Compile monthly, quarterly, and annual statistical reports for internal committees and the IPC.
3. Records Management
Organize and maintain a library of MFIPPA legislation and IPC guidelines.
Ensure the confidentiality of active files through systematic organization in secured filing cabinets.
Manage the annual archiving and storage of closed FOI files.
Qualifications
Experience: Proven experience processing FOI requests within a public sector or non-profit environment.
Knowledge: Strong working knowledge of MFIPPA and the Ontario IPC appeal process.
Communication: Exceptional professional communication skills with the ability to handle sensitive inquiries with diplomacy.
Organization: High level of accuracy and the ability to manage multiple strict deadlines simultaneously.
Technical Skills: Proficiency in tracking software and document redaction tools.
