Management categories. Ensure contracts are accurately maintained, vendor performance is consistently
monitored against agreed service levels, compliance standards are met, and supplier accountability is effectively
enforced to support uninterrupted supply and governance across BIHS facilities.
Key Responsibilities
Contract Administration
Manage the complete lifecycle of supplier contracts, including drafting, review, execution, renewal,
amendment, and closure using approved templates and governance standards.
Monitor contract expiry dates, renewal schedules, and critical milestones, initiating renewal activities
proactively to prevent supply disruptions.
Maintain and govern the centralized contract repository, ensuring all agreements remain current, complete,
and easily accessible to authorized stakeholders.
Review contracts for non-standard clauses, compliance gaps, and commercial risks, escalating concerns to
the Head - Vendor Management & Contracts.
Prepare contract renewal and renegotiation packages, including contract history, supplier performance data,
and commercial benchmarks to support negotiations.
Ensure proper documentation and version control for all contract-related activities.
Vendor Performance Tracking
Monitor supplier performance across all procurement categories, tracking delivery performance, fill rates,
product quality, service quality, and invoice accuracy.
Coordinate preparation of monthly and quarterly vendor scorecards using ERP and SCM system data.
Issue vendor performance improvement notices where required and monitor corrective action plans through
closure.
Maintain comprehensive supplier performance records to support vendor reviews, audits, and contract
renewal decisions.
Investigate and resolve vendor disputes, SLA breaches, and service-related escalations in collaboration with
category managers and operational teams.
Support vendor review meetings by preparing performance analysis and recommendations.
Vendor Compliance & Records Management
Maintain the Approved Vendor List (AVL), ensuring vendor approval status, certifications, contractual
standing, and performance ratings remain current.
Monitor procurement activities to identify purchases made outside approved contracts or vendor
arrangements and escalate exceptions.
Coordinate vendor requalification activities, including collection of compliance documents, certifications,
licenses, and supporting records.
Maintain a live compliance and exception register, documenting identified gaps, corrective actions, and
resolution timelines.
Support internal and external audits through accurate maintenance of vendor and contract documentation.
Ensure compliance with procurement governance policies, regulatory requirements, and supplier
management standards.
Team Management Set KRAs, performance objectives, and development plans for team members.
Conduct regular performance reviews, coaching sessions, and capability-building initiatives.
Develop team expertise in contract administration, vendor governance, compliance management, and
performance monitoring.
Foster a culture of accountability, accuracy, and continuous improvement within the team.

MBA (Supply Chain Management / Operations) or a graduate degree from a recognized institution.
Additional training or certification in Contract Management, Vendor Governance, Procurement Operations,

Relevant Experience
5-8 years of experience in contract administration, vendor management, procurement operations, or
supplier governance within healthcare, hospitals, pharmaceuticals, or large service organizations.
Demonstrated experience managing supplier contracts, monitoring SLA compliance, and supporting vendor
performance improvement programs.
Hands-on experience using ERP or SCM systems for contract tracking, vendor master management,
compliance monitoring, and performance reporting.
Strong attention to detail with the ability to manage large volumes of contracts, supplier records, and
performance data accurately.
Experience supporting audits, compliance reviews, and procurement governance initiatives.
Proven ability to work with cross-functional teams to resolve supplier issues and maintain supply continuity.
