Position: Mailroom Clerk
Employment Type: Contract
Contract Length: Month-to-Month
Hours: Monday to Friday, 8:30 am - 4:30 pm (35 hour work week)
Salary: $23/hour + 4% hourly vacation pay
Location: Downtown Toronto (King Street West, steps away from Union Station)
Start Date: Monday, July 27th, 2026

Responsibilities
- Process inbound mail into pre-labeled bins; research and resolve unidentifiable correspondence promptly.
- Collect, sort, and deliver internal mail and packages across corporate departments.
- Collect, prepare, and pre-sort outbound mail for daily postal pickups.
- Process certified mail and oversee courier handoffs, maintaining Proof of Delivery (POD) records.
- Replenish postage meters utilizing "Postage by Phone" protocols and complete monthly postage account reconciliations.
- Sign for, scan, and log inbound accountable packages into the tracking system, ensuring direct delivery to recipients with required POD documentation.
- Process outbound shipments via web shipping portals (e.g., FedEx) and coordinate pickups with couriers and shipping staff.
- Handle incoming and outgoing record storage pickup requests on an as-needed basis.
- Direct document collection and secure shredding bin pick-ups with Iron Mountain.
- Follow strict facility security guidelines while monitoring mailroom inventory and equipment maintenance.
- Serve as primary backup coverage for Reception and Office Services roles as requested.
Qualifications
- 1 to 2 years of experience in a mailroom, shipping/receiving, or corporate office services environment.
- Familiarity with inbound parcel tracking software, postage meters, and web shipping tools (e.g., FedEx, UPS, USPS).
- Ability to lift up to 50 lbs, move mail carts, and stand/walk throughout the day.
- Proven track record of adhering to SLAs, accurate record-keeping, and maintaining chain of custody.
- Strong communication skills with a professional demeanor when providing backfill coverage for Reception.
