My Aged Care client in the North Eastern suburbs requires an experienced Business Support Officer to join their team. The ideal candidate will provide reliable and efficient support to the Retirement Living Coordinator to ensure high-quality service delivery to residents within the Retirement Living community. The Responsibilities Include:
- Assist the Retirement Living Coordinator to ensure residents moving into the Village are welcomed and orientated according to established orientation procedures.
- Collaborate with the Retirement Living Coordinator in managing hospital admissions and discharges for residents.
- Deliver professional, timely, and customer-focused service to diverse individuals and groups with a friendly approach.
- Foster respectful and discreet relationships with residents, ensuring confidentiality is maintained.
- Attend Resident Meetings and/or Committee Meetings when required.
- Maintain up to date consumer records in the dedicated (CRM) system to reflect all consumer events.
- Engage with Retirement Living Residents, addressing their inquiries and concerns.
- Efficiently handle phone calls and respond to emails in a timely manner.
- Timely processing and completion of general administrative tasks.
- Provide comprehensive administrative support to the team, involving the compilation, printing, and distribution of the monthly Newsletter.
- Assist with maintaining and collating Resident Hand Books, Information Books ,Welcome Packs and any other documentation
- Manage the ordering and inventory maintenance of supplies for the Retirement Living office and Community Centre.
- Assist the Retirement Living Coordinator in reviewing and updating medical alert systems for residents.
- Review the daily Emergency Response Alarm report, identify and rectify issues, and provide updates to the Retirement Living Coordinator.
- Coordinate the distribution of communications.
- Ad hoc duties as required by management.
Ideally You Will Have:
- Experience in an administrative or customer focused position.
- Experience within the Aged Care industry is preferred but not essential.
- Well-developed general administration and IT skills.
- Good customer service skills in handling and directing the needs of the residents.
- Strong problem solving skills.
- Strong organisational, time management and prioritisation skills.
- Well-developed communication (face-to-face and written) skills that is courteous and patient.
- The ability to deal with sensitive matters with tact, discretion and appropriate confidentiality.
- The ability to work collaboratively within a team or autonomously.
- Good accuracy and attention to detail.
- Intermediate skills with Microsoft 365 suite with the ability to use technology for continuous
improvement.
