how you will contribute
The Executive Assistant provides high-level administrative, analytical, and operational support to executive leaders, including members of executive leadership teams (VP/SVP/EVP). This role serves as a key operational anchor, operating independently with high discretion to handle confidential information, manage complex projects, and optimize executive workflow. In addition to direct administrative execution, this position helps guide, coach, and mentor junior support staff while establishing productive working relationships across all organizational levels.
your typical day includes
... - Proactively managing complex, fluid calendars for multiple executive leaders; strategically scheduling appointments, resolving conflicts, and protecting executive time.
- Planning, booking, and coordinating comprehensive domestic and international travel logistics, creating detailed itineraries.
- Processing, reconciling, and tracking leadership travel and business expenses in strict alignment with corporate documentation and policy requirements.
- Drafting, formatting, and reviewing high-level correspondence, presentations, packets, and reports for executive leadership.
- Exercising sound judgment and strict confidentiality when handling sensitive organizational data and executive communications.
your responsibilities include
- Cross-Functional Liaison: Serving as a primary point of contact for inter-organizational associates regarding projects, operational decisions, or scheduling requirements; coordinating internal and external briefings and technical meetings.
- Brand Communications: Supporting social media presence and internal/external communication initiatives as needed.
- Project Ownership: Taking ownership of assigned cross-functional initiatives, coordinating timelines, and resolving operational roadblocks to keep projects on schedule.
- Reporting & Analytics: Compiling, analyzing, and interpreting operational, financial, and business metrics to identify trends, communicate issues, and support executive decision-making.
- Data Integrity: Maintaining business databases, tracking logs, and spreadsheets (including client/candidate details, reports, and internal notes) to ensure absolute data integrity.
your background
- Education: High School Diploma or GED required; Bachelor’s degree or equivalent advanced administrative experience strongly preferred.
- Work Experience: 2-4+ years of administrative support experience in a fast-paced environment, with demonstrated experience supporting senior executives and multiple stakeholders simultaneously.
- Industry Knowledge: Demonstrated understanding of RPO/MSP staffing industry dynamics, client requirements, and operational workflows is highly advantageous.
key capabilities
- Software Proficiency: Advanced proficiency in Google Suite (Gmail, Docs, Sheets, Slides); familiarity with SharePoint, PeopleSoft, Visio, and custom business databases.
- AI Proficiency: Proficiency with AI tools - experience with Google Gemini AI highly preferred.
- Language Proficiency: Bilingual French Canadian language proficiency (speaking and writing) highly preferred.
- Analytical & Problem-Solving Skills: Strong capacity to interpret complex data, assess operational results, and recommend/implement alternative solutions.
- Project & Time Management: Ability to manage competing priorities with a high degree of urgency, attention to detail, and a continuous improvement mindset.
- Communication: Exceptional verbal and written communication skills with the confidence to interact constructively with staff at all levels, including C-suite executives.
