Job Title: PMO Support Officer
Reports to: PMO Lead
Job Purpose:
The PMO Support Officer plays a vital role within the x-one Program Management Office (PMO). This position is focused on providing administrative and coordination support to multiple PMO Leads, enabling them to concentrate on strategic program management activities. This is an excellent opportunity for a highly organized individual to develop their skills in a dynamic program environment.
Job Environment:
The X-one program directly contributes to our Partner for Talent strategy where one of the pillars is “growing through platforms”. The x-one program consists of a brand new global front, mid and back office, a talent app, website, client portal and underlying structures as Finance & HR and steering. This role is mostly part of the front and mid-office (r- and m-one) with assistance to other programs like e-one (Finance and HR) and onboarding activities for the other programs.
Key Responsibilities:
Administrative Support:
Assist PMO Leads with scheduling meetings, preparing agendas, and taking recording action items & coordination to ensure a timely resolution
Handle administrative tasks related to resource management, such as updating the team roster and supporting the onboarding/offboarding processes.
Manage access rights for Google Drive and ServiceNow.
Reporting & Coordination:
Coordinate the consolidation of data from various teams for weekly and monthly reports, following up with stakeholders to ensure all deadlines are met and escalating when necessary to ensure timely delivery of all reports.
Coordinate and support the project/program teams with RIDAC log management (risk, issue, decisions, actions and changes), following up with stakeholders to ensure timely updates on progress towards resolution/mitigation.
Support the preparation of presentation slides under the guidance of the PMO Leads, ensuring they are clear, professional, and well-formatted.
Financial Assistance:
Assist the PMO Leads with tracking financial data and preparing information for budget reports.
Help manage the monthly timesheet tracking process.
Coordinate the project portfolio monthly financial reporting process including alignment with business control, IT team for uploading to SPM and PMO leads. following up with stakeholders to ensure all deadlines are met and escalating when necessary to ensure timely delivery of all reports.

Act as a point of contact for basic team inquiries, directing them to the appropriate person as needed.
ProfileWe are looking for a proactive and highly organized PMO Support Officer with a keen eye for detail. The ideal candidate is a strong team player who is eager to learn and grow within a project management office. You should have excellent administrative skills and be comfortable handling multiple tasks simultaneously. While direct project management experience isn't required, an interest in the field and some familiarity with financial administration would be beneficial. We need someone with strong skills in Google Suite (Docs, Sheets, Slides) who can help create clean and professional presentations.
