Advanced Calendar Management: Proactively manage complex schedules for VPs/SVPs, ensuring seamless transitions between internal meetings and external regulatory sessions.
Meeting Coordination: Organize and facilitate meetings, ensuring all digital files, agendas, and OneNote briefs are prepared in advance.
Executive Liaison: Act as a professional point of contact for internal stakeholders and external regulators, managing correspondence with a high sense of urgency.
Information Management: Maintain and organize electronic files and emails, capturing critical action items from meetings consistently and accurately.
Operational Support: Navigate MS Office (Outlook, Teams, OneNote) to streamline executive workflows and departmental communications.
Qualifications
Experience: 5+ years of dedicated Executive Assistant experience specifically supporting VPs or SVPs.
Technical Mastery: Expert-level proficiency in MS Office Suite (Outlook for complex scheduling, Teams for virtual coordination, and OneNote for organization).
Proactive Disposition: A "self-starter" mindset with a strong sense of urgency and the ability to anticipate executive needs before they arise.
Organizational Excellence: Exceptional attention to detail in managing electronic filing systems and capturing meeting data.
Professionalism: Punctual, polished, and capable of interacting with high-level internal and external contacts.
Previous experience in a Large Banking or Financial Institution.
Post-secondary education is considered an asset.
