Key Roles and Responsibilities: • Administrative Support: Managing calendar, meetings, appointments, and travel arrangements. Prepare agendas, take minutes of meetings, and follow up on action items. Handle correspondence, emails, calls, and documentation on behalf of the HOD. • Act as a point of contact between the Managing HOD and internal/external stakeholders. • Coordinate with different departments to ensure timely flow of information. Draft professional emails, reports, presentations, and official communications. • Assist in planning, tracking, and execution of projects assigned by the HOD. Maintain record, files, MIS reports, and confidential documents. • Support day-to-day operations and ensure tasks are completed within deadline. • Supports client directly as the go-to person for all needs, including daily administration, calendar management, travel schedules, project coordination, delivering presentations, answering calls, etc. • Manages a high-volume travel schedule. • Conserves client’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications. • Coordinates projects by capturing timelines and strategies and delivering progress updates. • Prepares meeting rooms for appointments, coordinates schedules, and greet customers and clients prior to meetings. • Keeps, prepares, and distributes minutes of meetings. Confidentiality & Compliance: Handle sensitive information with high level of discretion and professionalism.
