We are looking for a high-energy, detail-oriented Business Services & Operations Specialist to act as the vital engine behind our talent operations and internal processes.
In this role, you aren't just managing calendars and tracking systems; you are the conductor of the stakeholder experience. You will be the organizational lifesaver for our leadership teams and external partners across Switzerland and Germany. What You Will Do (Your Impact)
1. The Stakeholder Experience & Logistics Hub
- Master the Calendar: Seamlessly arrange and schedule key interviews, cross-functional assessments, and workshops across different locations, bridging the gap between busy hiring managers and top talent.
- Travel & Logistics Coordinator: Turn complex travel logistics into smooth journeys. You’ll coordinate bookings (flights, trains, hotels) for cross-location business trips and ensure candidate or team travel reimbursements are handled flawlessly with accounting.
- Feedback Champion: Drive continuous improvement by dispatching and tracking satisfaction surveys to ensure our internal processes remain premium and human-centric.
2. The Operations & Tech Engine
- System Specialist: Own the backend lifecycle of internal resource data and contingent workforce profiles inside our enterprise tools (including SAP frameworks)—from profile modifications and cost center shifts to creating, revising, and closing work orders.
- Onboarding & Compliance Connoisseur: Manage pre-employment compliance checks, contract administration steps, and internal onboarding tasks to ensure a welcoming Day One experience.
- Financial & Administrative Gates: Keep the wheels turning by resolving system integration errors, processing miscellaneous invoices, and managing vendor/partner data changes.
Who You Are
- The Polyglot: You are fully fluent in both German and English (written and spoken). You can confidently pivot between both languages throughout the day while communicating with Swiss stakeholders.
- The Multitasker: You possess exceptional organizational skills. Last-minute schedule changes, missing receipts, or system errors don't rattle you—you handle curveballs with a calm, confident smile.
- The Communicator: You know how to gently but firmly guide busy managers to stick to timelines while keeping external partners warm and informed.
- The Background: Experience in HR operations, recruitment coordination, business administration, or premium hospitality is a major plus. Direct experience dealing with the Swiss or DACH market will give you a massive head start.
- The Mindset: Proactive, adaptable, and completely comfortable working both independently and collaboratively in a modern, agile hybrid setup.
